Privacy Policy

This page explains what CaptionOS collects, why, who it’s shared with and how long it’s kept. CaptionOS is run by Ankit Kumar, who is responsible for your data. Questions or requests: support@captionos.in.
1. What we collect
- Your account: your name and email address, and your password stored only as a one-way hash we can’t read. With Google sign-in, your Google account ID instead of a password.
- Sign-ins: for each signed-in device, your IP address, browser type and when the session started, so we can apply your plan’s device limit and protect your account.
- Your videos and projects: the videos you upload, and your projects’ captions, timing, style settings, a small thumbnail and earlier saved versions.
- Usage: the caption minutes, storage and exports you’ve used, to apply your plan’s limits.
- Error reports: if the website crashes in your browser, the error message, the page address and your browser type, so we can fix it.
- Server logs: our web server records IP addresses and the pages requested, to keep the service running and stop abuse.
- Visits: to see how people find CaptionOS, we count visits to our website on our own server: the page, the kind of device, and the site or link you came from. We don’t use cookies for this or store your IP address; a code that changes every day lets us count each visitor once a day without recognising you later. When you sign up, we note where you first came from. If your browser asks not to be tracked (Do Not Track or Global Privacy Control), we don’t count your visits.
- Payments: your plan and payment records. Payments are handled by Razorpay; we never see your full card number.
2. What happens to your video
- To make captions, the audio of your video is sent to our transcription provider, Sarvam AI, which returns the words.
- Matching each word to the audio, saving your projects and rendering your MP4 exports all happen on our own server.
- We don’t publish your videos or captions, sell them, or use them to train AI.
3. Who we share data with
We don’t sell your data or show ads. We share data only with the services CaptionOS needs to run:
- Sarvam AI: the audio you create captions for.
- Hostinger: our hosting provider. Our server, in Mumbai, India, stores your account, projects and videos.
- Zoho (ZeptoMail): sends account emails such as sign-up and password reset codes, so it receives your email address.
- Google: if you use Google sign-in. Our pages also load fonts from Google Fonts, which lets Google see your IP address.
- Razorpay: processes payments.
We may also share data if the law requires it, or to protect our users and the service.
4. Google sign-in
With “Sign in with Google”, we receive only your name, email address and Google account ID. We don’t get your Google password, files, contacts or YouTube data. We use this information only to create your account and sign you in, and we never sell it or use it for ads. CaptionOS’s use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. You can remove CaptionOS’s access at myaccount.google.com/permissions.
5. Cookies and storage on your device
- One cookie keeps you signed in. It lasts 30 days if you choose “Keep me signed in”, otherwise 7 days.
- Your browser keeps unsaved caption edits and your preferences, so a lost connection doesn’t lose your work.
- No advertising or analytics cookies, and no third-party tracking scripts.
- Your browser remembers which site or link first brought you here (for up to 30 days), so we can tell which links work when you sign up.
6. How long we keep it
- Account: until you ask us to delete it.
- Videos and projects: until you delete them (projects in the trash stay until you empty it).
- Exported MP4s: removed from our server about 30 minutes after they’re ready, so download yours in time.
- Sign-in records: 30 days after you sign out or the session ends.
- Server logs: 14 days.
- Backups: copies of our database are kept for 7 days, so deleted account details can stay in a backup until it expires.
7. Security
Connections to CaptionOS are encrypted, passwords are stored only as hashes, and every project and file is checked against the signed-in account before it’s shown. No system is perfectly secure; if a breach affects your data, we’ll tell you as the law requires.
8. Your rights
- You can see, edit and delete your projects at any time in the dashboard.
- To get a copy of your data, correct it, or delete your account and everything in it, email support@captionos.in from your account’s email address. We reply within 2 business days.
- Under India’s Digital Personal Data Protection Act, 2023 you may also complain to the Data Protection Board of India.
9. Children
CaptionOS is not for anyone under 18. If you think a child has given us personal data, tell us and we’ll delete it.
10. Changes to this policy
If we change this policy, we’ll update the date at the top. For important changes, we’ll also tell you by email or in the app.
